The difference
Why this workbook beats the others
US-first
Every label, every formula and every date assumes a US sole proprietor. Calendar tax year, Schedule C categories, USD, MM/DD/YYYY dates.
Sales tax done honestly
If you collect sales tax, enter your rate on the Setup tab and the workbook backs it out of your gross correctly. Because rates vary by state and city, nothing is hard-coded.
Estimated taxes, guided
The Tax Summary shows your quarterly net income with an editable set-aside percentage (a rule-of-thumb default of 25%) so your 1040-ES payments are never a surprise.
Bank reconciliation included
Most templates skip this. Reconciling monthly is what stops your figures drifting from reality.
Cash flow separated from profit
You can be profitable but broke. This workbook shows both pictures.
Built in plain English
Labels say money in and money out, with the formal accounting term in brackets. No jargon-first design.
How it works
Five simple habits
- 1
Open the Setup tab and fill in the yellow cells (about 5 minutes).
- 2
Record income and expenses as they happen (about 30 seconds per line).
- 3
Once a month, reconcile the bank and glance at the dashboards.
- 4
Once a quarter, use the Tax Summary to guide your 1040-ES estimated payment.
- 5
Once a year, hand the Annual Tax Prep Summary to your CPA or map it to Schedule C.

- Not built for partnerships, S-corps or C-corps. For several ventures or other entity types, see Multi-Entity (US).
Questions
Frequently asked
Will this work in Excel and Google Sheets?
Yes. The workbook is a plain .xlsx, tested in Microsoft Excel 2016 and newer and in Google Sheets. To use Google Sheets, upload the file to your Drive and open it; the formulas continue to work.
Does it calculate my income tax?
No, and be wary of any spreadsheet that claims to. It organises your books, shows quarterly net income and lets you set an estimated set-aside percentage. Your return is between you, your CPA and the IRS.
I don't collect sales tax. Is this still useful?
Yes. The sales tax rate defaults to zero and everything simply works without it. If you register later, enter your rate on the Setup tab and the workbook updates throughout.
What about the IRS mileage rate?
You enter the current IRS standard mileage rate on the Setup tab (the rate changes most years, so we do not hard-code it). The vehicle log then applies it to your miles automatically.
Are there macros?
No. Everything is live formulas, so it calculates the moment you open it. No macro warnings and nothing to enable.
I run more than one business. Should I buy this?
If you run two or more ventures, the Multi-Entity (US) edition is the better fit. This Sole Proprietor edition is built for a single business.
